Important documents folder What to gather in one place in case you are not around: documents and copies, health, money and home, contacts and safe digital access. [ ] Choose the place and format A paper folder at home plus a protected digital copy. The point is that it can be found without you. [ ] Write down where the original documents are Passports, certificates, property and vehicle papers, insurance, contracts. Not the documents themselves — a map of where they are. [ ] Make copies of the main documents A scan and a paper copy. When an original is lost, a copy speeds up replacement enormously. [ ] Fill in the health section Doctor and clinic, chronic conditions, allergies, regular medication. It is the first thing asked in any emergency. [ ] List accounts, payments and obligations Where the accounts are, what is charged automatically, which loans and policies exist. Without it, compulsory payments simply stop. [ ] Write down everything about the home Contracts, meter readings and how they are submitted, where the stopcock and fuse box are, the management and tradespeople contacts. [ ] Compile the important contacts Family, work, doctor, school, neighbours with keys. With a note about who to call for what. [ ] Arrange safe access to devices and email A password manager with access for a trusted person, or whatever mechanism the service provides. Not a list of passwords in a notebook. [ ] List subscriptions and recurring charges There are usually more than anyone remembers. The list saves money both for you and for whoever sorts it out later. [ ] Describe care for children, pets and plants Routine, food, vet, where things are, who can step in. It is the first thing anyone covering for you needs. [ ] Write down your wishes, if you want to What matters to you and what family would otherwise have to guess. The wording is yours; legal force is a separate question. [ ] Check the legal side if it matters Rules differ by country. If property and formal instructions are involved, that is a conversation with a professional. [ ] Tell one or two people where the folder is A folder nobody knows about is useless. One trusted person and a sense of what is inside is enough. [ ] Never keep passwords in plain text An open list of passwords creates a new risk instead of protection. Use a protected method. [ ] Set an annual reminder to update it Tie it to a date you will not miss. An outdated folder misleads more than no folder at all.
