The list adapts to you

When you add it, the checklist asks a couple of questions and keeps only the items that fit your situation.

What's inside

  1. List guests with parents' contacts

Get at least one parent's phone number per child — you'll need it if a kid gets upset, hurt, or has to leave early.

  2. Ask parents about allergies

Ask before ordering food and cake, not after — reworking the menu at the last minute is harder and pricier.

  3. Send out invitations

Send them 2–3 weeks ahead and ask for an RSVP — it makes planning food quantities and seating much easier.

  4. Pick the party theme with your kid

It's their day — let them choose, even if it's dinosaurs again for the fifth year running.

  5. Book an entertainer or activity program

Book a month ahead — good entertainers get snapped up fast for weekends, especially around holidays.

  6. Keep the party time-boxed

For preschoolers, 2 hours is the comfortable ceiling — past that, overtired meltdowns start even with a great program.

  7. Order the cake and prep candles

Bring spare candles and a long lighter — a regular match tends to die early near a draft or AC vent.

  8. Plan a simple kids' menu

Pizza, nuggets and fruit outperform fancy catering — elaborate adult-style dishes at a kids' party usually go straight in the trash.

  9. Stock up on water and juice

Kids drink more than you'd expect, especially after running around — buy more than your headcount math suggests.

  10. Prepare goodie bags for departing guests

A small favor for every kid heads off the "what about me?" tears at the door — it's cheaper and easier than it sounds.

  11. Hide the birthday kid's gift well

Kids find hidden things with scary efficiency — pick a spot the birthday child genuinely doesn't know about.

  12. Put together a playlist

Kids' hits mixed with musical games (like freeze dance) hold attention far better than adult background music.

  13. Designate an adult to take photos

Otherwise the day's chaos means almost no photos survive it — agree in advance who covers the candle-blowing and gift-opening moments.

  14. Keep a first aid kit within reach

Plasters, antiseptic, something for bumps — with a room full of running kids, scrapes are close to guaranteed.

  15. Put away fragile and valuable items At home

Clear the kids' zone of vases, electronics and anything breakable — easier to do ahead of time than deal with the aftermath.

  16. Cover outlets and cushion sharp corners At home

Especially if toddlers are among the guests — exposed outlets and hard furniture corners are exactly at their eye level.

  17. Give your neighbors a heads-up At home

A kids' party is loud for hours. A quick heads-up beforehand heads off most complaints.

  18. Set up separate activity zones At home

One area for eating, one for active games, one for quiet play. Without clear zones, the whole apartment turns into one chaotic mess fast.

  19. Confirm the booking the day before At a venue

Call a day ahead — double-bookings and room mix-ups at venues happen more often than you'd like.

  20. Clarify what the venue includes At a venue

Can you bring your own cake, is there a corkage-style fee, are dishware and cleanup included — better to know these details ahead than find out on the day.

  21. Arrange cake delivery to the venue At a venue

Settle in advance who brings the cake and when — it's an easy detail to lose track of amid the rest of the packing.

  22. Arrange who greets parents at the entrance At a venue

Guest parents often don't know the venue — a designated greeter saves everyone time and stress at the door.
