Work through the list in order. Hide the notes when you know what to do.

  1. Find the receipt or proof of purchase

    Without it, many service centers won't even open a claim. If it's a fading paper receipt, photograph it to the cloud now, before the service visit.

  2. Match the serial number on the device to the paperwork

    The number on the unit or in settings should match the warranty card or receipt — a mismatch (say, from a past replacement) can be grounds for a rejection.

  3. Confirm the warranty is still valid and what it actually covers

    The clock starts from the purchase date, not the manufacture date. Check whether coverage includes labor or only parts — this varies by manufacturer.

  4. Read what voids the warranty

    Opening the case, repair by an unauthorized shop, a removed serial-number seal — common reasons for a rejected claim, even if unrelated to the actual fault.

  5. Don't attempt a self-repair

    Even opening it up out of curiosity can void the remaining warranty entirely, not just for the affected part.

  6. Photograph and video the fault before touching anything

    Before you move or touch it — this documents the state at the time of the claim, useful if the service center tries to blame misuse.

  7. Back up your data

    A laptop or phone can come back from repair reset to factory settings — don't assume your data will be preserved.

  8. Remove personal items, SIM card and accessories

    Make a list of exactly what you're sending in — cases, memory cards and cables easily go missing between drop-off and pickup.

  9. Contact the right place first

    Depending on the manufacturer and country, it's either an authorized service center or the store you bought it from. Check the warranty terms first to avoid a wasted trip.

  10. Get a claim number in writing

    A confirmation by email or in an account portal — a phone call with no ticket number is impossible to prove happened later.

  11. Ask about the repair timeline and a loaner device

    For essential items (phone, fridge), ask about a loaner — not every service center offers one unprompted; you often have to ask.

  12. Ask what happens if it turns out unrepairable

    Replacement, refund, or store credit — get this confirmed in writing upfront, not discovered after the fact when the part turns out unavailable.

  13. Pack it in the original box if you kept it

    Poor packaging is a common reason claims for shipping damage get rejected. Without the original box, over-pad it rather than under-pad it.

  14. Insure the shipment if sending by courier

    For anything valuable, insurance is cheap relative to the risk of loss or damage in transit.

  15. Keep the tracking number and drop-off receipt until the case closes

    Don't delete or toss it until the device is back and you've confirmed it actually works.

  16. If rejected, ask for the reason in writing

    A verbal rejection over the phone is hard to challenge. A written reason is what you need if you escalate or contact consumer protection.

  17. Check the legal guarantee beyond the manufacturer's warranty

    In many countries, consumer protection law gives a longer claim window than the manufacturer's card — check the rules where you live.

  18. Set a follow-up reminder

    If the promised timeline passes with no update, a calendar reminder beats hoping they'll call you first.

  19. Log who you spoke to and when at each step

    Rep's name, date and what was said — useful when you have to re-explain the case to a different agent later.
